VetRex is a true Windows based application that operates under Microsoft Windows NT/2000 and Windows 95/98/ME/XP on IBM or compatible personal computers. The term "true windows" refers to the fact that this is true 32 bit software that was developed to operate directly in the Windows environment and not in a "DOS Window". Installation is normally accomplished in five to ten minutes per computer.

Data is entered into the data base by direct entry into the applicable input blocks or by filling out VA Forms on the screen.

The data from the form on the screen is automatically saved to the veteran’s record. Optionally, other screens are provided to edit or enter the information in the veteran’s file such as: The veterans personal information; Reserve and National Guard Service; Education; Military Service; Claims History; Marital Information; Children; Employment History; Net Worth; Income; Nature and History of Disabilities; Medical, Legal and Other Expenses; Burial Information in the case of deceased veterans; and Non-Service Connected Pension.

All of the questions asked on the 21-526, 21-527 and 21-8940 VA forms are stored in the database. Since these three forms contain almost all of the information required by the other VA forms, additional forms may be printed with all or almost all information already filled in. Blank forms may also be printed.

When filling out input blocks on the user screens, pausing the cursor on an input block for two seconds or more causes a pop up "help tip" to appear providing context sensitive help. Where a choice of standard information is required, double clicking the mouse on the input box causes a list of choices to appear. One of the selections from the list may be automatically entered in the input box by double clicking the mouse on the desired response. These pop-up lists contain often used information such as: Lists of Organizations that hold powers-of-attorney; Complete VA diagnostic codes; uniform entry information for Branch of Service, Discharge Codes and others. This prevents the necessity of stopping data entry while this information is looked up elsewhere.

There is a rapid search feature for locating veterans records and records may be searched on most common data fields using a user supplied search phrase. There are three user defined searchable fields on the personal data screen. On most fields, records can be searched for search phrases that are equal to or not equal to the search phrase.

VetRex affords the ability to track up to ten separate claims per veteran on a claims screen. Data may be entered into each claim reflecting primary and secondary VA diagnostic codes, claim filed date, claim award date, rating percentage, Notice of Disagreement filed date, Statement Of the Case (SOC) date, Supplemental Statement of the Case (SSOC) date, 1-9 filed date, 646 filed date, Office code, Agent code, Type code, VA End Product Code, Claimant type Veteran/Spouse/Child), date claim received, required review date, hearing date, BVA appeal date, BVA status, effective date of award. monthly award and retroactive award date. As claims and information are entered, the total disability rating is automatically calculated and shown using the VA combined rating formula. The claims screen permits the user to enter a freeform memo for each claim as well as a general memo for all claims.

VetRex is designed to save work and eliminate repetitive tasks and is designed to be as customizable as possible so it can be adapted to the local way of doing things rather than having to alter your style of keeping records. VetRex has several built in reports including: almost all of the information in the veterans record, pending action reports; veterans selected by category and others. You can use the industry standard Crystal Reports software or Microsoft Access to create your own specialized reports.

VetRex has a built-in macro system that allows the user to define two-letter macro tokens. A form letter can be prepared by inserting the macro tokens in the letter. When the letter is printed, the macro tokens are replaced with information from the Veteran's file. Boiler plate letters can be prepared in advance to request information for a veteran's claim, to transmit documents, to write letters to clients and many other useful functions.

Each topic of a veteran's record has its own associated memo such as military service, income, children, etc. The memos can be designed by the administrator to suit local needs. They may be printed, incorporated into claims or used to record freeform information not otherwise stored in the database.

Prior to entering a new record, a default template can be loaded to supply information common to all veterans in the area. The default template loaded when a new veterans record is added may be altered locally to supply local area codes, Zip codes, Agents names, State and other common data.

The VetRex diary logs every form printed, every telephone call and every office visit. You can customize VetRex to enter other information you need into the diary with just the click of a button. A statistics report reads the diary and produces a report for you of all phone calls, office visits, forms printed etc., during a period of time you specify.

VetRex contains scanned images of VA forms. All that is necessary to print a form is to select the veteran's name, select the form to be printed and the form will appear on the screen with the data from the database filled in. The completely filled in form is printed on the local or network printer. New records may be entered into the database by filling out any of the forms on screen. The information from the form is stored in the veterans database and is available to all other forms. Each time a form is completed on a particular veteran, more information is stored in the database until all necessary information is obtained. When another form is loaded, the previously entered information will be automatically inserted into the proper input blocks on the form. As additional forms are completed, the additional information is stored in the database. You can fax or email the contents of the form as well as printing it.

Compare this method with filling out forms by hand or on a typewriter. Doing it manually, you have to keep re-entering the information over and over on every form. With VetRex, you enter the information once.

VetRex has built-in document scanning capabilities. If you have a TWAIN compatible scanner, you can scan documents directly into a veteran’s record, retrieve them and print as many copies as you need, as often as you want.

VetRex uses Microsoft Access style databases. You can use Access to manipulate the data files and produce reports and add-on functions using Access and tools designed to work with Access. You can configure VetRex to require logon names and passwords for local security.

If you have multiple offices, you can easily export records from one VetRex system to another by sending the record via  email, on a floppy disk, or by uploading it with a communications program.

VetRex is fully networkable on any kind of common network including the built in networking in Windows 95/98/ME/NT or Novell networks. All veteran data files and memo files are stored on one computer on the network and all records are available to all workstations on the network. There is no internal limit to the number of veterans records that may be entered or stored. Records entered on one workstation are immediately available to all other workstations.

VetRex has built-in time accounting. You can produce a report that details the time spent on each client for any time period you specify.

VetRex is distributed on Compact Disk (CD). A printed user manual is supplied with each copy of VetRex.

VetRex works best on a Pentium machine with 32 or more megabytes of RAM but will work fine, but slower, on a 486-66 or better machine with 16 megabytes. Windows 95/98/ME or Windows NT/2000/XP is required.

VetRex will always stay current with the latest changes to Laws, Rules, Regulations, VA Forms and updates to VetRex itself by using its automatic update feature. As long as one computer in your office has broadband Internet access, VetRex will check the NVOIS Update Server and automatically update itself with little or no intervention on your part.
